Follow Ups

Pharma Follow-Up Software for PCD Franchise & Distributor Retention

Most pharma deals are lost to silence, not rejection. Follow Ups is a live activity log across every representative showing exactly what is scheduled, due today and overdue.

What is pharma follow-up software?

Pharma follow-up software automates reminder workflows for telecallers, prompting distributor touchpoints after sample dispatches, visual aid reviews, or quotation sharing to prevent franchise inquiries from going cold.

The live Follow Ups log: Scheduled, Due Today and Overdue for every representative.
How it works

Watch Follow Ups work.

1

Date is set

A rep schedules the next follow-up on a lead.

2

Shows as Scheduled

Visible to the whole team, numbered 1st, 2nd, 3rd.

3

Due Today

Moves to the top of the rep's queue.

4

Overdue is visible

Missed commitments stay on screen until actioned.

Who it is for

One module, three people who benefit.

For Sales heads

See overdue work across the whole team.

For Reps & telecallers

A clear queue of what to do today.

For Founders & admins

Commitments that don't depend on memory.

The problem

Most pharma deals are lost to silence, not to rejection

A distributor asks for a rate list on Monday. The rep sends it. Both move on. Three weeks later the distributor signs with a competitor who called back on Thursday. Nothing was refused — the follow-up simply never happened.

Nobody notices a missing call

A follow-up that does not happen produces no alert, no gap in a report and no complaint.

Commitments live in WhatsApp

“I'll call him Tuesday” is agreed in a group chat and forgotten by Wednesday.

Managers cannot see the gap

A manager reviewing activity sees calls made, never the calls that should have been made.

Track

Scheduled, due today, overdue — in one view

Follow Ups is a representative activity log covering the whole team. Three states make the pipeline legible at a glance: what is coming, what needs doing this morning, and what has already slipped.

Overdue is the accountability view. These are commitments that were made and missed, and they stay visible until they are actioned or the lead is closed out.

  • Three states: Scheduled · Due Today · Overdue
  • Filter by representative or view the whole team
  • Nothing disappears silently

Sequence

Numbered follow-ups tell you where a deal really stands

Each entry records whether it is the first, second or third follow-up on that lead. A prospect on a fourth follow-up with no movement is a fundamentally different commercial situation from one on a first — and the numbering makes that visible without reading the history.

It also surfaces the pattern managers rarely catch: reps who keep scheduling follow-ups instead of asking for the order.

  • Follow-up number tracked per lead
  • Scheduled-for and set-on dates both recorded
  • Rescheduled entries flagged

What changes

What changes when follow-ups stop slipping

Deals close on rhythm

The company that calls back on schedule wins the franchise more often than the one with the better rate card.

Silence becomes visible

An overdue queue turns an invisible failure into a manageable list.

Reps look reliable

Consistent callbacks are the cheapest trust signal in distributor relationships.

The silent pipeline killer

A distributor asks for a rate list on Monday. The rep sends it. Both move on. Three weeks later the distributor signs with a competitor who called back on Thursday. Nothing was rejected — the follow-up simply never happened, and nobody noticed.

Three states, one view

Scheduled shows upcoming callbacks. Due Today is the working list for the morning. Overdue is the accountability view — the follow-ups that were committed to and missed. A manager opening this page sees the health of the pipeline in one screen.

Everything links back to the Lead Center record and its call briefs, so the rep opens the next call already knowing what was last promised.

Questions

Frequently asked questions

Can I see follow-ups for a single representative?
Yes. The activity log filters by representative, so you can review one rep's commitments or see the whole team at once.
What counts as overdue?
Any follow-up whose scheduled date has passed without being actioned. It stays visible until it is completed or the lead is closed out to Dead Leads.
Does the system remind reps automatically?
Follow-ups appear in the rep's own queue with due-today prominence, and unanswered inbound calls generate a recovery entry with a drafted WhatsApp message ready to send.
